THE POSITION. This is a hybrid position requiring someone with exceptional administrative and customer service skills who can produce high-quality work consistent with a managerial position. Reporting to the principal and working closely with various project teams, the Administrative Associate is the face of the organization. The incumbent’s primary responsibility is to support the principal while keeping all projects moving forward, ensuring that all documents released are of consistently high quality, and that our customers receive the highest quality of services. S/he is the key public contact for the office; responds to public, client and candidate inquiries; and schedules interviews and committee meetings while juggling and aligning priorities of the team and the clients. The Administrative Associate is accountable for posting client open positions and processing applications; preparing reports and presentations for client meetings; and keeping information flows within the office smooth, efficient and complete. This includes responsibility for documentation management, and recommending and implementing technology that can aid the business processes of the practice. The Administrative Associate also plays a primary role in drafting proposals and editing work done by colleagues.

This work can be done for the most part from one’s home, and averages 80 hours per month, though hours worked can vary widely from month to month and week to week. Frequent travel to the Belmont office is required.

QUALIFICATIONS. The successful candidate will have a track record of producing competent work, and want to work with a dynamic virtual practice. S/he must be extremely organized, patient, flexible, poised and unflappable, and thoroughly enjoy working with clients, colleagues and candidates to get the job done. S/he will be a good thinker who can contribute to team discussions about the strategies and content of our work, and be an eventual thought partner in the practice. The incumbent must be an excellent writer and editor; dependable; willing to manage the principal of the firm; and someone who can be equally happy doing mundane tasks such as scheduling numerous busy professionals and working on complex issues. Demonstrated competency with Microsoft Office suite, and a good comfort level with social networking, telephone, web and other software technology, are also important. A Bachelor’s degree is preferred. A well-equipped and professional home office setup is required.
